WhatsApp messages for repair customers: ready-made texts for every stage

Updated 20 October 2026 · 2 min read

A customer who does not know where their repair stands phones you, and each call costs ten minutes. A few short messages, always sent at the same moments, remove most calls. Here is when to write them and what to say, with examples to adapt.

1. The basic rules

  • One message, one thing: the amount, or «it is ready», never everything together.
  • Always the shop name and, if there is one, the receipt number.
  • Write at reasonable hours, avoid late evenings and Sundays.
  • Use the number the customer gave you for the repair and only for this: no offers unless they agreed to receive promotional messages.

2. When you check the device in

Example: «Hi Mark, this is Smith Repairs. We have taken in your iPhone 13, receipt R-123. We will message you as soon as we have the diagnosis, usually by tomorrow.» The customer has your number saved and knows what to expect.

3. The quote

Example: «Mark, for your iPhone 13 the screen replacement costs 129 € and takes two days. You can approve here: [link]. We will not start without your answer.» Amount, time and a simple way to reply.

4. Device ready

Example: «Mark, your iPhone 13 is ready. Amount due: 129 €. We are open Monday to Saturday, 9-1 and 3-7. Please bring the receipt or an ID.» The useful details so they can come without calling back.

5. Reminder and review

  • If after three days the customer has not collected: «Mark, a reminder that your iPhone 13 is ready to collect. If you need more time, let us know.»
  • After pick-up, once only: «Thank you Mark! If you are happy, a review helps us a lot: [link]».

Writing them in a few seconds

Retyping every message is why people stop sending them. Repair shop software such as Fixverso prepares the text already written with name, amount and a link to the customer's page for each stage: you check it and press send, and it goes from your own WhatsApp.
